PodcastGuest.org respects your privacy and is committed to handling personal information fairly, lawfully and transparently.

This privacy policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the rights you have in relation to your information.

1. Who we are

PodcastGuest.org is an audio-first discovery feed for podcast producers.

For the purposes of UK data protection law, PodcastGuest.org is the controller of the personal data described in this policy.

2. The personal information we collect

We may collect and use the following personal information:

  • your biography and professional background
  • your topic areas or subject expertise
  • links you choose to provide
  • your audio submission or listing
  • payment information relevant to your purchase
  • correspondence you send to us
  • technical data such as IP address, browser type, device information, and site usage data

We only ask for information that is relevant to running PodcastGuest.org and publishing or managing listings.

  • you submit a listing or audition form
  • you contact us by email or through the site
  • you make a payment
  • you request an update or removal
  • you browse the website
  • you listen to or interact with content hosted through third-party platforms

We use personal information to:

  • review and manage submissions
  • publish approved listings
  • communicate with guests and producers
  • process payments
  • maintain and improve the website and feed
  • keep records of submissions, approvals, edits and removals
  • prevent misuse, fraud or technical abuse
  • comply with legal and regulatory obligations

5. Our lawful bases

Under UK GDPR, organisations need a valid lawful basis for processing personal data, and privacy information should explain that basis clearly.

We generally rely on the following lawful bases:

Contract – where processing is necessary to review a paid submission, process payment, publish a listing, or provide the service you have requested.

Legitimate interests – where processing is necessary for our legitimate interests in running, securing, improving and administering PodcastGuest.org, responding to enquiries, reviewing submissions, maintaining a useful service for guests and producers, and preventing misuse, provided those interests are not overridden by your rights and interests. ICO guidance says these legitimate interests should be clearly explained in the privacy notice.

Consent – where you have clearly agreed to a specific use of your data, such as where consent is required for certain cookies or optional communications.

Legal obligation – where we need to keep or disclose information to comply with the law.

6. Published listings and public information

If your submission is approved, some of the information you provide will be made public as part of your listing.

This may include:

  • your name
  • your audio introduction
  • your biography
  • your topics
  • your approved links
  • your booking or contact details, where you have chosen to provide them for publication

Please only submit information you are happy to have published as part of a public listing.

7. Payments

Payments are processed by Stripe.

We do not store your full card details on PodcastGuest.org. Payment providers process payment information under their own privacy terms and security standards.

8. Service providers and sharing

We may share personal information with trusted service providers where necessary to run PodcastGuest.org. These may include:

  • WordPress for website hosting and site management
  • Google Workspace for email communications
  • Tally Forms for submission forms
  • Stripe for payment processing
  • Buzzsprout for podcast hosting and distribution

We may also share personal information where required by law, to enforce our terms, or to protect our rights, users, or the public.

ICO guidance says privacy information should explain who personal data is shared with or the categories of recipients.

9. International transfers

Some of our service providers may store or process personal data outside the UK.

Where that happens, we will take appropriate steps to ensure personal data is protected in line with UK data protection law, for example by using providers in countries recognised as adequate, or by using appropriate contractual safeguards.

10. How long we keep personal information

ICO guidance says privacy information should explain retention periods or the criteria used to decide them.

We keep personal information only for as long as reasonably necessary for the purposes set out in this policy, including to run the service, keep records, resolve disputes and meet legal, tax or accounting obligations.

  • approved public listing data – kept while the listing remains active, and for up to 12 months after removal for record-keeping unless a longer period is needed
  • unsuccessful submissions – kept for up to 6 months
  • payment and transaction records – kept for up to 6 years where required for tax and accounting purposes
  • support correspondence – kept for up to 12 months

11. Cookies and similar technologies

PodcastGuest.org does not currently use cookies for analytics.

The website may still use cookies or similar technologies that are strictly necessary for the operation, security or basic functioning of the site and any third-party services embedded within it. UK PECR rules apply to cookies and similar technologies, and users must be told about them. Consent is generally required unless an exception applies.

You can usually control cookies through your browser settings.

12. Your rights

Under UK GDPR, individuals have the right to be informed, and may also have rights including access, rectification, erasure, restriction, objection, and in some cases portability, depending on the circumstances. ICO guidance says these rights should be explained in your privacy information.

Depending on the circumstances, you may have the right to:

  • ask for access to the personal information we hold about you
  • ask us to correct inaccurate information
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to certain kinds of processing
  • withdraw consent where we rely on consent
  • ask for transfer of your information in a portable format, where applicable
  • complain to the Information Commissioner’s Office (ICO)

14. Children

PodcastGuest.org is intended for adults and professional use. It is not designed for children.

If you believe a child has submitted personal information to us without appropriate authorisation, please contact us.

We may update this privacy policy from time to time.
